Lambes Oil Ltd are a premier oil distributor across the Irish midlands. We provide heating oil and kerosene, agri-diesel, commercial diesel, petrol and storage tanks.
When upgrading our accounting and business management software we looked at a variety of packages.Herbst Insight Oil Distribution Management Software offered significant advantages to our practice.
We were looking for a user-friendly application which was easy to use, simple to maintain and would control the day to day processing of our business. The Herbst Insight application allows us to route, plan and manage our drivers daily schedule, by means of handhelds and live processing.
This allows us to keep our Customers informed at all times. It has allowed us to gain complete control over our stocks and achieve accurate and timely profit analysis.
We have saved significant administration time as the Herbst Insight application has allows us to automate our Customers direct debits and we can also use the application in a CRM capacity, for marketing and customer sales analysis.
Another distinct advantage to our business is the built in Point of Sales module, allowing us to easily manage our direct pump sales with our Customers.

Specific issues that were solved through implementation of Herbst Insight
Stock Control
Invoices were not posted live as they happened & consequently they never had a live picture of stock holdings. Stock issues took longer to resolve as all transactions were not always up to date.
When they moved to Insight and introduced the driver handhelds, it meant that all transactions were entered “live” which resulted in a daily stock reconciliation and therefore this coupled with the barcoding via Insight meant that they always had up to date stock control. Problems were found & resolved on the day they arose.
Month End close off.
They were always late with closing off their Months, which in turn had a knock on effect on the next month.
One of the reasons for this was because of the amount of time spent on Administration in the office. After changing over to Insight, the administration was greatly reduced, the transactions were posted daily and there was no “month end” routine to be done. As the transactions were posted live on the system the gross profit for each day was known at the end of that day & no need to wait to finish month end accounts.
Driver costs
One of the major problems with their old system is that they could not get an accurate picture of their drivers profitability and what individual drivers were costing.
When they changed over to Insight, not only could they get their drivers costs via NL but we also created a report for them (Driver profitability Report) which analysed the drivers sales/profitability and compared with cost of the truck. Giving them a live anlysis of the drivers performance and contribution to the company.
Point of sale fuel transactions
They sell via Pumps in their yard (both cash and on account) – they always found it very difficult to manage these sales.
With Insight POS module, they were able to simplify the management of these transactions, allowing a terminal to be placed in the office for POS transactions only which was integrated live into the overall package
Customer communications
They send out calendars each year – this was a time consuming affair as they had to write out envelopes for each of the calendars.
When they changed to Insight, they found that they could print labels for all customers – resulting in a huge saving of staff time at their busiest time of the year. The mail merge facility made it much easier to send bulk marketing information & statements.
Reduction in Postage Costs
A lot of time (and money) on posting invoices & statements to their Customers. A major advantage to switching to Insight is that it allows for the emailing of all of these to their Customers, resulting in huge savings for Lambes Oil, in money terms and in staff time.
